What to know about conference printing.
A conference is a packet, a room and a deadline
Conference printing splits into three jobs that are usually quoted together. The packet is what every attendee walks away with: the program, the handouts, the badge. The room is everything on a wall or an easel. The deadline is fixed, published and not negotiable, which is what makes this category different from ordinary commercial work.
Bound items such as programs, abstract books and delegate handbooks are covered in more depth on the booklet and program printing page. Room signage, easel boards and retractables are on banners and signs, with the wider substrate list under large format printing.
Ordering against a fixed date
Give the shop the event date and the date material has to be on site, not just a lead time. Working backwards from the show is the only reliable way to schedule a job where the deadline cannot move, and it makes it obvious early if a component needs to be split into an earlier and a later run.
It also helps to say which items are final and which are still moving. Signage and badges often firm up weeks before the program does, and there is no reason to hold the whole job for one unresolved session listing.
Registration paperwork and on-site sets
Conference work usually drags a small amount of operational paperwork with it: sign-in sheets, receipt books, banquet event orders, exhibitor check-in forms. Those are numbered and multi-part more often than not, and they are quoted through business form printing.
If the event is a trade show rather than a conference, exhibitor-side work such as booth backwalls and table throws is on the convention printing page.
